EXECUTIVE ASSISTANT
WARREN COUNTY WATER DISTRICT

 
OBJECTIVES:
The Executive Assistant to the General Manager of Warren County Water District (District) plays a critical role in providing high-level administrative support to the General Manager and assisting in the efficient operation of the District. Must possess exceptional organizational skills, strong communication abilities, and the discretion necessary to handle sensitive information. This role requires a proactive individual who can anticipate the needs of the General Manager and the District, contributing to the overall success of the organization.

REPORTING RELATIONSHIPS:
Reports to: General Manager

ESSENTIAL FUNCTIONS:
  • Provides administrative support to the General Manager and other department managers. Keeps the General Manager informed of matters related to their job functions.
  • Assists the General Manager in coordinating board meetings with Commissioners/Directors, preparation of agendas and minutes for Warren, Simpson, and Butler Counties.
  • Prepares agendas and minutes for the Warren, Simpson, and Butler Joint Committee and Bowling Green Municipal Utilities Joint Committee meetings.
  • Distributes all District correspondence to the proper departments. Prepares outgoing mail using postage metering machine and delivers mail to the post office daily.
  • Prepares bid and contract documents for materials, equipment, and labor involving system improvements and maintenance.
  • Assists Engineering Department personnel in preparation, execution and maintenance of extension agreements and related documents.
  • Responsible for filing correspondence, project documents and other items for all managers as requested.
  • Assists all department managers as needed.
  • Oversee the daily operations of the General Manager's office, ensuring an organized, efficient, and welcoming environment.
  • Works according to safety rules and policies adopted by Warren County Water District, is responsible for own safety, and reports all accidents to General Manager.
  • Complies with traffic laws, regulations, and safe practices while operating any District vehicle.
  • Perform other duties and responsibilities as assigned by the General Manager.
JOB SPECIFICATIONS
POSITION: EXECUTIVE ASSISTANT
EDUCATION:  High school graduate or equivalent. Bachelor's/Vocational degree in business administration, public administration, or a related field is preferred.
EXPERIENCE:  Three to five years progressively responsible experience in secretarial/clerical work is preferred.
KNOWLEDGE:  Exceptional grammar and spelling are required for the preparation of correspondence and reports. Must have knowledge and understanding of current office principles and practices. Must have thorough knowledge of Microsoft Office Suite. Must be willing to attend training courses and seminars to stay current on advancements associated with position duties. Must be willing to successfully complete and retain certification and ability to perform first aid and CPR.
ABILITIES AND SKILLS:  Must be able to carry out a variety of activities, which require a high degree of accuracy and attention to detail. Must be able to organize work to meet deadlines. Excellent oral and written communications skills are required. Must have skills in communications, grammar, filing, and various types of computer software. Must have strong organizational skills and be able to execute daily work assignments accurately and efficiently. Must have skills and ability to operate and maintain various office equipment. Must be self-motivating and creative with the ability to handle a wide variety of diverse tasks with frequent interruptions. Must be able to work with others as well as individually and be able to maintain a pleasant demeanor in dealing with all employees and the public. Must always use discretion with confidential information.
WORKING CONDITIONS:  Normal office conditions. Some overtime will be required. Must keep work and filing areas neat and presentable.
OTHER:  Must possess and maintain a valid driver's license.
